Chorlton Family Practice is committed to protecting the privacy and security of your personal information. This privacy notice describes how we collect and use personal information about applicants during and after the recruitment process, in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

What Information We Collect

During the recruitment process we may collect and process the following information:

  • Name, address, telephone number and email address
  • Employment history and qualifications
  • CVs and application forms
  • References
  • Professional registration details
  • Right to work documentation
  • Disclosure and Barring Service (DBS) information where applicable
  • Equality and diversity monitoring information
  • Interview notes and assessment outcomes

We may also collect information from third parties, such as recruitment agencies, referees, NHS Jobs, DBS services, and professional regulatory bodies.

We collect and use applicant information for the purposes of:

  • Communicating with applicants during recruitment
  • Carrying out pre-employment checks
  • Verifying qualifications and professional registrations

We process applicant data under the following lawful bases:

  • Article 6(1)(b) UK GDPR – processing necessary for entering into an employment contract
  • Article 6(1)(c) UK GDPR – processing necessary for compliance with legal obligations
  • Article 6(1)(f) UK GDPR – legitimate interests in recruiting suitable staff

Where special category data is processed, this is undertaken in accordance with Article 9 UK GDPR and Schedule 1 of the Data Protection Act 2018.

  • Managers involved in the recruitment process
  • NHS Jobs and associated recruitment systems
  • Professional regulatory bodies
  • DBS services where required
  • Occupational Health providers
  • External HR advisors where appropriate

Information will only be shared where necessary and lawful to do so.

How Long We Keep Recruitment Information

If your application is unsuccessful, recruitment information will normally be retained for up to 6 months following completion of the recruitment process, after which it will be securely destroyed. If your application is successful, relevant information will be transferred to your employee record and retained in accordance with employment record retention requirements.

Your Rights

Under UK GDPR, you have the right to:

  • Access your personal data
  • Request correction of inaccurate information
  • Request erasure of your data in certain circumstances
  • Object to processing
  • Request restriction of processing
  • Lodge a complaint with the Information Commissioner’s Office (ICO)
